How to do the TVDE weekly settlement, step by step
The weekly settlement is the calculation of what each driver is owed, or owes, for the week: it starts from what the driver earned on the platforms and deducts what the company charges. It takes six steps, in the same order every week.

The statement in short
Week result = revenue − rental or fleet commission − VAT − fuel and tolls (if the driver pays them) ± adjustments and instalments
The basis of each line depends on the agreement with the driver and on what your accountant advises.
Step by step
Set the period and gather the revenue
Choose the week's dates (for example, Monday to Sunday) and gather each platform's earnings report, per driver. Always use the same period, so no trip is left out or counted twice.
Apply each driver's agreement
Fixed rental, daily rate, a percentage of revenue or tiers: each driver can have their own agreement. Apply it to the week's revenue.
Add the costs the driver pays
Fuel, tolls and other costs only go on the statement if, under the agreement, they are the driver's. Costs the company pays are recorded but not deducted.
Handle VAT
Agree the rate and the basis of calculation with your accountant, and apply them the same way on every statement.
Deduct advances and instalments
Advances already paid and agreed instalments (deposit, damage, debts) come off the driver's statement at the agreed pace. Always record them, so each driver's balance stays clear.
Review, send and pay
Before paying, compare each statement with the previous week and look for large differences. Send the statement to the driver with line-by-line detail and only then pay. If the result is negative, decide whether it carries over to the next week as a debt.
Common mistakes
Changing statements already sent
Changing a figure after the driver has seen the statement causes arguments. Correct it the following week with a labelled adjustment line.
Mixing weeks
Tolls and fuel purchases arrive late. Decide which week they belong to and always apply the same rule.
Relying on a spreadsheet formula
One broken formula in a spreadsheet changes every statement without warning. Keep each week saved and check the totals.
How Frotivo does this for you
Frotivo imports the Uber, Bolt, Via Verde and Prio files, applies each driver's agreement, adds fuel, tolls, VAT and instalments, and shows each statement line by line. Then you approve it, send it to the driver through the portal and export the SEPA payment. Other fuel suppliers are added as their files arrive; until then, enter them by hand.

How long does a weekly settlement take?
It depends on the number of drivers and on how you gather the data. With the rules set and the figures already recorded, the calculation is automatic and your time goes into reviewing the statements.
Does the settlement have to be weekly?
No. Many fleets settle weekly because that is the pace of the platforms' reports, but the period can be different. What matters is that it is always the same.
What if a driver disagrees with the statement?
Show the statement line by line: revenue, each deduction and the rule applied. If there is a mistake, correct it the following week with a labelled adjustment.
